Terms of Service

The following policies ensure that Surf Grove is safe, fun and fair for everyone—guests, staff and locals (human and otherwise). If you are travelling with a pet please read in detail and understand the pet policy below.

The Guest is responsible for providing accurate RV length specifications. Incorrect information could result in reserving a site that does not fit your needs, which could result in you not having a site to camp in. Surf Grove is not responsible if this is to happen.

 

  • Reservations

    • Full payment of a stay is required to confirm a reservation. 

    • Any cancellations received within 7 days of the scheduled arrival  will result in a forfeiture of your entire payment. Cancellations received before this 7-day period are subject to a $35 cancellation fee, the remainder is to be refunded to the credit card on file.

    • All bookings are charged on either daily or weekly rates.  The Guest acknowledges that this is a vacation accommodation campsite.  While longer term bookings may be made available to Guests, Surf Grove expressly reserves the right to terminate such bookings upon 48 hours’ advance written notice.

    • Any changes to your reservation must be received 7 days before arrival. Any nights, adults, or pets removed within 7 days before your arrival will still require full payment.

    • If you wish to extend your stay, and your site is available, please notify reception before 11:00 a.m. on your scheduled date of departure. 

    • Prices are based on two adults per site. Additional adults are $5 per person per day.

    • Maximum 4 adults per site. 

    • Children 16 and under are allowed at no additional charge provided that the total number of occupants does not exceed six people per site and as long as there are no more than 4 adult occupants.

    • To lock in a specific site during the reservation process, there is a fee of $25. If you do not choose to lock in your site, you will be assigned to the section you requested in proximity to the ocean, but we are unable to guarantee your selected site

    • Surf Grove reserves the right to relocate a Guest to a substantially similar or better site, at the sole discretion of Surf Grove, during the Guest’s stay upon 24 hours’ advance notice.

    • All rates are exclusive of applicable taxes (i.e. goods and services tax). 

 

  • Cancellations

    • Any cancellations received within 7 days of the scheduled arrival  will result in a forfeiture of your entire payment. Cancellations received before this 7 day period are subject to a $35 cancellation fee, the remainder is to be refunded to the credit card on file.

    • Any dropped nights within the 7 day period prior to your arrival will result in a forfeiture of payment for each night dropped. In the occasion that a night is dropped and it causes a reservation to be less than our minimum night stay, this will result in a forfeiture of payment for this dropped night. Any nights dropped outside of the 7 days prior to arrival that do not result in your stay becoming less than our minimum required stay are eligible for a full refund.

    •  In the case of any no-shows or early departures, guests will still be responsible for the full amount of their reservation.

    • Cancellations will only be accepted by email to info@surfgrove.com. Cancellations will not be accepted by phone.

    • We do not give credit or refunds due to inclement weather. The fun continues rain or shine!

    • During a pandemic you accept that you are travelling at your own risk knowing fully that travel restrictions and provincial changes can be made any time. If any changes are made municipally, provincially, or federally that prevent you from travelling you accept that our standard cancellation policy still applies.

 

  • Campers

    • Campsite permit holders must be at least 18 years of age.

    • The permit holder is responsible for the conduct and behaviour of their family and other guests.

    • Where space permits, a maximum of three pieces of shelter equipment are allowed per site—only one of which may be a travel trailer, tent trailer, camper van, motor home or self-propelled camping unit. 

    • Check in time is 2:00 p.m. Check out time is 11:00 a.m. During Covid-19 operations late check outs and early check ins are not permitted.

    • If you wish to change campsites, the change must be cleared with Guest Services prior to occupying the site.

 

  • RV Rentals

    • Maximum occupancy is no is no more than 2 adults and 2 children

    • No pets of any kind are allowed inside your rental RV

    • No smoking or vaping is allowed inside rental RVs.

    • No beach fires on Cox Bay. This is local policy over which we have no control

    • Music must be turned off at 10:00 PM

    • Quiet time begins at 11:00 PM. Please respect your fellow campers.

    • On your day of departure it is the guest’s responsibility to ensure that all dishes are cleaned and that the cleanliness of the trailer is left in a respectable state. Failure to leave your rental trailer in a clean state will result in an additional cleaning fee of up to $150

 

  • Site Policies

    • Surf Grove is a family campground. We ask that everyone behaves in a respectful manner.

    • Unregistered visitors are not allowed.

    • Music must be off between the hours of 10:00 p.m. and 8:00 a.m. Loud music is not permitted at any time.

    • Quiet time is 11:00 p.m. to 8:00 a.m. Excessive noise is not permitted at any time.

    • Visitors must be off-site by 10:00 p.m. The permit holder is responsible for his or her guests.  Surf Grove reserves the right to disallow access to the campground to any visitors.

    • Generators must be turned off between the hours of 10:00 p.m. and 8:00 a.m.

    • While utilities are included in the posted rates, Surf Grove reserves the right to charge a Guest for any excessive or abusive consumption of utilities during their stay.

    • Any after-hours emergencies can be referred to our onsite security. In the case of an acute health emergency, please call 911. 

    • Anyone who fails to comply with campground regulations will be required to vacate the property immediately. No refunds will be provided. 

    • Management reserves the right to refuse service to anyone for violating campground rules, destructive behaviour or creating a disturbance. To protect our campers, trespassers will be prosecuted.

    • Fireworks are prohibited by law. 

    • Surf Grove is not responsible for vehicles and/or belongings. Please keep all valuables stored and locked away. 

    • Surf Grove is not responsible for any loss of or damage to any personal or private property. Surf Grove is not responsible for any damage to personal or private property that may occur from fallen trees, branches, or any other natural occurrences.

    • Not following our Covid-19 procedures and policies is absolutely prohibited. This is a zero tolerance policy and will result in eviction from the park.

    • The Guest acknowledges and agrees that Surf Grove retains absolute and unfettered access over, and control of, the site.  This means that Surf Grove and its employees can enter the site without notice for any reason whatsoever.  The Guest acknowledges and agrees that Surf Grove retains the right to cancel a reservation or stay for any reason whatsoever.  Further, subject to the cancellation policy described herein, the Guest may cancel a reservation or stay for any reason whatsoever

 

  • Environment

    • Cutting or chopping trees on or around the Surf Grove property is prohibited, as is the burning of any Surf Grove property. Firewood is available for purchase at Guest Services

    • We do everything in our power to protect our surrounding woodlands.  Please do not connect rain covers or tie anything else to bushes, campground infrastructure, or trees. All rain covers must be free-standing and secured to the ground.  

    • Do not forage for wood or damage the bushes or other flora. Roasting sticks are available to purchase at the office.

 

  • Fires on Surf Grove property

    • All fires must be contained to a fire ring. 

    • Fire rings are not to be moved.

    • All fires must be monitored by an adult.

    • Fire rings are not to be used for burning garbage. 

    • Please only use CLEAN firewood (no metals, nails, paint, stains or other chemicals). Bundles of firewood are available for purchase at Guest Services. 

    • On Cox Bay Beach, fires of any kind are prohibited. This is strictly enforced by law, and may result in being required to vacate Surf Grove Campground.

 

  • Vehicles

    • All vehicles must be registered at Guest Services. A valid parking pass should be on display at all times. 

    • We are a family campground. Kids are at play throughout our property. Therefore, a speed limit of 8km/h (5mph) is enforced. 

    • Parking for one vehicle (or two motorcycles) is included in your campsite rental. Additional parking passes can be purchased for $10/day. 

    • Vehicles are not to be parked on any grass or roadway, or in other campsites. Additional parking is available near the Guest Services office. 

    • Washing of vehicles on Surf Grove property is not permitted.

    • Use of dirtbikes or ATVs is prohibited on Surf Grove property. 

 

  • Garbage and food waste

    • Please use our garbage, recycling services. 

    • There is to be absolutely no disposal of food waste at the campsites. Any dishwashing and food waste disposal must be done at the designated dishwashing and disposal areas.

    • Cleaning fish on Surf Grove property is not permitted. Your fish must be cleaned, and the remains disposed of, before you return to the campground.  Any fish or garbage odor in individual campsites is a serious bear attractant, and therefore poses a danger to all campers.

    • Campsites must be kept clean and free of food scraps.  We have bears for neighbours, and unfortunately a fed bear is a dead bear. 

    • To ensure our property is safe for both guests and local wildlife, our staff will remove any food or garbage that is left unattended and/or is not stored in a vehicle or other safe location. 

 

  • Beach use

    • Absolutely no tenting is permitted on Cox Bay Beach. This is strictly enforced, and may result in being required to vacate Surf Grove Campground.

    • Fires of any sort are prohibited on Cox Bay Beach. This is strictly enforced by bylaw, and may result in being required to vacate Surf Grove Campground.

    • Please clean up after yourself. Remember: leave only footprints.

 

  • Pets

    • Friendly pets with up-to-date vaccinations are welcome.

    • Campers bringing pets are subject to a one-time fee of $20 per pet. Limit of two pets per campsite.

    • Because there are wild animals in the area, pets must be kept on leash at all times while on our property. 

    • You are responsible for picking up after your pooch. 

    • Please do not leave your pets unattended. 

    • Cats must remain inside your vehicle. 

 

Pet Policy

On behalf of the entire Guest Services Team we are pleased to welcome you and your Canine Companion to Surf Grove Campground. In our attempt to make you and your pets stay with us pleasant as possible, without impacting on the campground cleanliness and the quiet enjoyment of our other guests, Surf Grove would appreciate your full cooperation.

Non compliance with any of the rules below may result in forfeit of deposit and or immediate removal of the pet(s) and its owner from our Campground.

  • Limit of 2 pets per campsite.

  • All pets must be registered at time of check in.

  • Pets of non-registered guests are not permitted.

  • Pets are permitted in “ Pet Friendly “ sites only and not in any of our Surf Grove Rental RVs

  • A One Time charge of $20.00 per pet will be charged to the guest’s account.

  • Only pets that are friendly and up to date with their vaccinations are permitted on property.

  • Pet’s must be leashed at all times while on Surf Grove Property.

  • I/We acknowledge that our pet/dog has had no prior aggressive incidents towards other animals or humans.

  • Cox Bay is considered a public area and Tofino By-Law prohibits unleashed pets on all local beaches.

  • We ask for your cooperation in not leaving your pet unattended in your site for extended periods of time.

  • Pets that bark excessively, act in an aggressive manner or disturb other guests or resort staff will not be tolerated.

  • Owners must pick up after their pets immediately. This includes Surf Grove property & on the Beach.

  • Pet owners are reminded that Cox Bay serves as a natural habitat to many migratory shorebirds and to please ensure their pet is under control at all times. Disrupting the daily routines of the resident wildlife is not tolerated and can result in a fine.
