Hidden Haven

Payment Policy

Payment is due in full at check-in with a minimum 50% deposit paid on booking reservation. For monthly stays, one (1) month of rent is due in full at check-in and then each following month is paid in advance. We gladly accept Visa, Mastercard, Discover, and American Express. We require that all reservations have a credit card on file.

Hidden Haven LLC may charge my monthly recurring balance, any remaining balance, any damage charges, or other amounts owed under these Rules and Regulations to any credit or debit card on file from my reservation or prior payments. Any amounts due after 30 days will be subject to the maximum late charge permitted under state law.

Cancellation and Refund Policy

Your reservation at Hidden Haven is both special and important to us.  If your plans change, please contact us to modify or cancel your reservation per the terms below.  Our policy varies depending on the timing of your cancellation or modification notice in advance of the reservation or departure date. Camping is an outdoor experience we do not give credit or refunds for the discomforts of nature.

Site Rentals:  If you must cancel your RV or Tent Site reservation, we require a 7-day notice online prior to the arrival date.  Modification Policy may apply. Refunds will be issued less a $25 cancellation.  With less than a 7-day notice, a shortened stay, or an early check out the entire reservation fee is non-refundable.

Lodging Rentals:  If you must cancel your Cabin or RV Rental reservation, we require a 7-day notice online prior to the arrival date.  Modification Policy may apply. Refunds will be issued less a $50 cancellation fee.  With less than a 7-day notice, or a shortened stay, or an early check out the entire reservation fee is non-refundable.

Monthly Site Rentals: If you must cancel your monthly site reservation, we require a 14-day notice online prior to the arrival date.  Refunds will be issued less a $50 cancellation fee. With less than a 14-day notice, the entire reservation fee is non-refundable.  Monthly site rental guests must provide a 30-day departure notice by phone/email.  Without a 30-day notice, no refund will be issued for an early departure.

Modification Policy:  If you would like to modify a reservation for non-monthly rentals to another date we will do this one time as a courtesy as long as it is done 7 or more days prior to the arrival date.  Subsequent modifications can be made if completed 7 or more days prior to arrival date with a $15 change fee for daily and weekly sites and $50 for monthly sites and lodging.  Modifications are not allowed with less than a 7-day notice.  Changes made to decrease occupancy or pets resulting in a credit owed will result in the issuance of a Camp Credit. Camp Credit will remain active on the User Account and will expire one year from issuance. Modification is subject to availability.  I agree that Hidden Haven LLC retains the right to cancel or alter my reservation as needed at its discretion. If the customer is dissatisfied with the changes made to their reservation they will be offered a full refund or the opportunity to make a reservation for a different date.

No Show Policy: Reservations will be held until check-out time on the day following your scheduled arrival. No shows will result in full forfeiture of funds.

By signing these terms and conditions, you agree and understand our full cancelation and refund policy. 

 

Identification

We require a copy of your driver's license or state identification on file. If you sign the terms and conditions online, you may also upload a copy of a state ID to the additional forms. Please stop by the office at check-in to sign the terms and conditions and provide identification. 

 

Check-In / Check Out

Check-in is at 2 PM CST and entitles you to your site/cabin/camper until 11 AM CST the day of check-out. All outstanding balances need to be paid prior to check-in. Early check-in is not permitted. The guests who paid for the site/cabin/camper the night before you have paid for their site/cabin/camper until 11 AM CST. We will not ask a guest to leave so that you can check in early. If you arrive in the area early, please make arrangements until your site/cabin/camper opens at noon. We do not have a waiting area for those checking in early. Check-out time is 11 AM CST. You do not need to contact the office for checking out unless you need to pay for after-hours charges.

Late check-ins are allowed at any time, please contact the park during camp store hours for instructions.

 

Motorhomes, RVs, Travel Trailers

All Motorhomes, RVs, or Travel trailers must be in good working order and appearance. We reserve the right to refuse access to any quests whose vehicle is deemed to be unacceptable.

 

Site Changes

You have been assigned a specific site, if you wish to move please check with the office. Due to reservations and maintenance, moving may not be possible. Please inquire before moving sites.

 

Cabin Policies

Cabins will be inspected weekly for monthly stays and upon request. Cabins include free TV channels and Amazon Prime; any chargesto your Amazon Prime account will be charged automatically to your account.  Damages to the cabin will be charged to your account, and you will be responsible for all damages to the property.

No Smoking  of any kind is allowed in any campground buildings. This includes cabins, the rented camper,  camp store, bathhouses, and laundry.

 

Open Fires

Open fires are not allowed in our park. Fires must be in firepits or designated fire rings. Each site has a designated fire pit.

 

Parking

Please do not park your vehicle, trailer, or boat on an adjacent site. Use of more than one site will result in additional charges.

Unless stated otherwise, only 1 RV and a maximum of 1 other vehicle are allowed per site.

 

Storage

Storage is not allowed under or around your RV or picnic table.

 

Site and Park Navigation

Please be respectful of your neighbor and do not walk between sites when navigating the park. Please use main roads, sidewalks, and designated public paths to walk around the campground.

Smoking/Drug Use

No smoking is allowed in any of the campground buildings. This includes cabins, rented camper, bathhouses, laundry and camp store. Any smoking in camp ground buildings will result in a fine for cleaning. 

Use of any illegal drugs on the campground will require police notification and immediately being asked to leave with no refunds. 

Washing Vehicles

Washing RVs or vehicles is only permitted with 1 bucket of water and a sponge. Hose washing is not permitted, as it can result in a mess and disturb your neighbors.

 

Pet Policies

A maximum of 2 pets are allowed per reservation. This includes RV sites, cabin, tent, and camper reservations. 

Leashes

We ask that you keep your pets on a leash at all times except in the dog park. This helps you, your pet, and other guests and other guests’ pets stay safe. 

 

Cleaning Up After Your Pet

Be a good neighbor and always use the dog walk area and clean up after your pet. Please do not let your pet deposit waste on your site or any of our other guests’ sites. Failure to clean up after your pet will result in you being asked to leave without a refund.

Leaving Pets Unattended

Pets may not be left unattended in our park. Please do not tie your pet to a tree and leave. Leaving your pets unattended is

dangerous for your pet as many factors including weather, power outages, etc. can affect your pet's well-being while you are away.

 

Pets on Furniture

Pets are Not Allowed on furniture if you are staying in one of our cabins or Campers. For any incidents, that will be a $25.00 charge per occurrence. Pet owners are responsible for any damages caused by pets.

Pet Vaccinations

Due to Insurance Requirements, all pets must be vaccinated in our park. Please make sure your pet’s shots are up-to-date.

Barking

Excessive barking is not tolerated and disturbs your neighbors. Please note that excessive barking may result in you being asked to leave without a refund.

 

Vehicle Policies

Speed Limit

The park speed limit is 5 mph. This policy is to keep you, your children, and your pets safe. Exceeding this speed limit will result in a warning. Multiple warnings will require us to ask you to leave. Safety is our number one priority for our guests.

 

Parking

Each paid guest registration covers 1 RV per site and 1 vehicle per site unless noted. Please do not park on our grass. Ruts

caused in your site due to additional vehicles will result in damage charges.

Trailers, Boats, and additional vehicles will cost additional fees for camping. A nightly registration covers 1 RV and 1 vehicle only. No parking in common areas. Do not park in the middle of the road. Do not park in sites that you did not register for and do not block our garages or our bathroom and laundry room doors. Parking on the grass is not permitted at RV Sites or in tent areas.

Hidden Haven, LLC is not responsible for personal injuries or damage, loss, or theft of any personal property or vehicles.

 

ATV’s. Dirt Bikes, Motorcycles, and Golf Carts OHVs are welcome onsite but may not be used within the park. ONLY to get to

and from your site.

 

General Park Policies

 

General Behavior

Please be courteous to other guests around you. Loud music or objectionable noise is not allowed at any time. Inconsiderate guests will be evicted from the park. Profanity or violence towards guests or staff will result in immediate eviction from the park.

Guests who violated rules that resulted in eviction notices will not receive any refunds for their stays.

 

Visitors

Only registered guests are permitted to enter the park. All visitors must stop in the office to register. Visitors may not bring pets. Hidden Haven, LLC reserves the right to limit the number of people visiting a site. Day visitors must depart by 10:00 pm CST. Overnight visitors must depart by 11 am CST. Please check with the office before inviting any visitors. Registered guests are responsible for ensuring their visitors are properly registered and following all campground rules. All guests visiting someone in the park must register.

Guests are responsible for any damage or injury caused by themselves, their children, or their pets. Hidden Haven, LLC is not responsible for personal injuries or damage, loss, or theft of any personal property or vehicles.

 

Electrical Use

You are responsible for understanding how many amps you use in our RV. Amp usage over the 50 AMPs provided can trip your breaker. Please be mindful of your amp usage so that you don’t trip your breaker during your stay. Please notify the office so that we can notify maintenance if you have any electrical issues during your stay. Guests cannot diagnose our electrical pedestals per insurance and safety requirements. Maintenance is happy to help. Even if you are an electrician, laws prohibit you from working on our pedestals unless hired to do so.

 

Quiet Time Policies

Quiet time is 10 PM to 7 AM. Anyone playing loud music will be warned only once and then asked to leave without a refund.

 

Trash Disposal and Recycling

A dumpster is available on the south side of the park. Please tie trash bags completely closed and put your trash completely in the trash container.

Please do not place your trash on the ground. Woodland creatures like opossums and raccoons are attracted to left out or disposed of food and while we think they are cute and wonderful animals; we don’t want you to find a surprise night visiting raccoons at your site because of incorrectly disposed of trash! Do not dispose of wires, oil, furniture, mattresses, or any toxic waste or chemicals in our dumpster. Failure to adhere to this rule may result in charges for disposal fees.

 

Wildlife Habitat

Hidden Haven, LLC is in a natural wildlife habitat area. There are coyotes, birds of prey, and reptiles. All guests should ensure pets and small children are supervised at all times.

 

Children

An adult must supervise children under 18 at all times. Riding bicycles without a parent and on our main entrance road is prohibited for the safety of your children and our incoming guests.

 

Drones

Drones are not permitted in our park. Please do not fly drones over people or RVs. There are several local area parks where drones are permitted for your enjoyment.

 

Clotheslines

Clotheslines are not permitted in our park.

 

Fireworks and Firearms

Fireworks and firearms are strictly prohibited in our park. Fireworks prohibition includes sparklers, smoke bombs, aerials, and firecrackers. The prohibition of firearms includes all guns, including airsoft, BB, and pellet guns. If these items are seen outside of your RV, you will be asked to leave immediately without a refund.

 

Repairs

Repairs to RVs and vehicles are not permitted in our park. However, we are happy to recommend a local Mobile RV Repair service that comes out to your site to assist you with any repairs.

Residency Status & Mail

Guests cannot claim Hidden Haven as their permanent address. Mail cannot be received at Hidden Haven's address. Packages from USPS, UPS, FedEx, and Amazon are accepted and may be picked up at Camp Store. All packages will be held for (30) days. The campground is not responsible for any packages.

Safety and Emergencies

Suppose you observe any activity you believe to be of concern. Text (931) 229-0899, 24 hours a day. (No soliciting is allowed) If you need to call 911 for any reason, and time allows, please get in touch with the office so the maintenance staff can be prepared to escort the emergency personnel to your site.

 

We adhere to and maintain all state, county, and local laws on property.

 

Electronic Signatures: You agree that your electronic signature, whether digital or encrypted, is intended to authenticate the Terms and Conditions contained herein and to have the same force and effect as manual signatures.

Delivery of a copy of this Agreement or any other document contemplated hereby bearing an original or electronic signature by email transmission in “portable document format” (“.pdf”) form, or by any other electronic means intended to preserve the original graphic and pictorial appearance of a document will have the same effect as the physical delivery of the paper document bearing an original or electronic signature.
