Hidden Lake Retreat Terms & Conditions
Hidden Lake Retreat operates as an automated stay experience. A camp host or staff member will not be onsite most of the time. You may see a staff member during your stay for general purposes. You can call the office (252-617-8562) for any issues or questions. You can also text the office number. If no answer, leave a message and a staff member will contact you shortly.
Hidden Lake is located in a rural area which means you could hear the occasional target practice off in the distance. It's not common but is possible during your stay.
Arrival/Departure Information
Check-In: 3:00PM
Check in time is at 3:00 pm EST. Please do not arrive prior to check in time as we do not allow early check-ins. We must have time to prepare and clean the site between guests. Hidden Lake Retreat operates as an automated check-in and stay facility. We do not have a camp host onsite. Once you check in online, then you can head straight to your site upon arrival. The registered guest responsible for the unit/site must be at least 21 years of age. Only guest within the party are allowed. A credit card must also remain on file for incidentals.
Check-Out: 11:00AM
To make sure we can clean and prepare for incoming guests, all guests must vacate no later than 11:00AM EST. Please make sure to remove any trash or food from the tent and place it in the trash cans. Place dirty towels in the towel bin.
Payments:
Full payment is required at the time of booking.
Cancellation and Rescheduling:
In the event that you must cancel or reschedule dates, please see the applicable policy below and then call our office at 252-617-8562 to speak with a staff member.
There is no fee for canceling or rescheduling 31+ days from your reservation date.
If you reschedule 15 to 30 days prior to your arrival date, then a $35 fee is applied for glamp sites and a $5 fee for primitive tent sites. If you reschedule 14 days or less from your arrival date, then a $50 fee is applied for glamp sites and a $20 fee for primitive tent sites.
If you cancel 15 to 30 days prior to your arrival date, 50% of your stay amount will be forfeited.
If you cancel 14 days or less prior to your arrival date, then your full stay amount is forfeited.
Refunds:
We do not issue refunds due to inclement weather. Additionally, we do not provide refunds for early guest departure, whether by choice or due to eviction for violation of park policies.
Full refunds are given for cancellations made 31+ days prior to arrival date.
A 50% refund for the full stay amount is given for cancellations made 15-30 days prior to arrival date.
No refunds are given for cancellations 14 days or less prior to the arrival date.
Quiet Hours:
10:00PM - 7:00AM
No loud music, excessive noise, or disorderly conduct during quiet hours. Be courteous to the guests around you.
Damage / Loss:
Registered guests will be liable for the full cost of any damage caused by the guest to the property or facilities. Guests will also be charged for any items missing from rental units after checkout.
Garbage:
Please help us keep our property clean by placing all garbage in the trash and recycling bins located on the property. Please do not burn trash, and please do not leave trash unattended outside over night as you could attract animals.
Parking:
Limit of (1) vehicle per reservation. Park in designated parking area only.
Glamp Sites:
(2-4) people per glamp tent. Additional $5 per guest for reservations over (2). Twin cots can be rented also. Tent space may be tight for (4) adults.
Tent Sites:
Primitive tent sites may have up to (6) people per site. Additional $5 per guest for reservations over (4).
Visitors:
Only registered guests are permitted to enter the park.
Campfires:
Controlled campfires are permitted in designated fire pits only. Fires must be supervised while burning and then fully extinguished. Only firewood is allowed in fire pits. Fire pits may not be relocated.
Pets:
NO pets are permitted for glamp site reservations. Pets are permitted for tent site reservations. Pets must remain on a leash at all times. Be sure to clean up after your pet’s waste. Excessive barking is not permitted.
Smoking:
NO smoking, vaping, or tobacco use in the glamp tents.
Theft and Loss:
Campers are responsible for securing their personal property, including, but not limited to, their campers and contents, vehicles, tents, or any other personal property. The campground, its owner and employees are not responsible or liable for theft or loss of any kind, nor damage caused by acts of nature, fires, floods, windstorms, explosions, lightning strikes, accidents, or vandalism.
Fishing:
The park operates on a “catch and release” policy.
Kayak/Canoe/Pedal Boat Use:
Kayaks can be rented during your stay, or guests can bring their own. Guest 16 and under must wear a life vest while kayaking or using the pedal boat. The lake can have strong currents at times. Life vests are provided with kayak rental. Guests must provide their own life vest if using their own kayak or canoe. Pedal boats can also be rented during your stay. Please leave life vest inside the kayak after your stay.
Swimming:
Swimming is permitted in the designated space within the roped area. Guest 16 and under must wear a life vest while swimming. Swim at your own risk. No lifeguard on duty!
Kayak, Canoe, Pedal Boat, and Equipment Rental Agreement
Kayak, Canoe, Pedal Boat, and Equipment Rental Agreement between Hidden Lake Retreat LLC, hereon called, “Lessor”, and the undersigned, herein called, “Renter”. This agreement also constitutes a Waiver and Release of Liability whereby the Renter agrees to release, discharge, hold harmless, defend and indemnify Hidden Lake Retreat LLC and its owners, agents, officers, and employees from any and all claims, actions or losses for bodily injury, property damage, wrongful death, loss of services or otherwise which may arise out of Renter’s use of Kayaks, Canoes, and Pedal Boat equipment. Renter acknowledges he/she specifically understands he/she (Renter) is releasing, discharging and waiving any claims or actions that they may have at the present time, or in the future, against owners, agents, officers or employees of Hidden Lake Retreat LLC. Signing the Terms and Conditions below acknowledges acceptance of this entire agreement.
A) Renter represents that he/she is capable of safely operating and handling the equipment. Renter represents that he/she has adequate skills, knowledge and experience to safely operate the equipment.
B) Renter shall be liable for all risk and responsibility of and for any and all damage, loss or theft of the rental boats and/or equipment, and shall pay the Lessor (Hidden Lake Retreat LLC) the full cost of repair or replacement.
C) Renter shall return boats and equipment in the condition in which it was received. Renter agrees to use all equipment for its designed purpose only.
D) RECOGNITION OF RISK: Renter expressly acknowledges that kayaking, canoeing, and boat use activities have inherent risk of injury to persons and property. Renter is aware of those risks and understands them. Renter acknowledges that life jackets are recommended for anyone over the age of 16. Renter acknowledges that anyone 16 or younger MUST wear a life jacket at all times while using rental boats and equipment. Renter understands that the use of life jackets does not remove all risks of injury. Renter expressly assumes the risks of the activity.
E) RELEASE OF LIABILITY: Renter hereby RELEASES Hidden Lake Retreat LLC, its owners and its employees from liability for negligence and holds harmless Hidden Lake Retreat LLC, its owners and its employees from any loss, expense or cost, including attorney fees, arising from damages or injuries, whether to persons or property, occurring as a result of the rental or use of said boat and/or equipment.
F) This agreement constitutes the entire agreement between Hidden Lake Retreat LLC and Renter and no term may be waived or modified except in writing signed by both parties.
G) All parties under the age of 18 shall be accompanied by a responsible adult also referred to as Renter. Renter assumes all responsibility for minor participants safety at all times. All children 16 and younger are required to wear a life jacket while using rental boats and equipment.
ACKNOWLEDGMENT
Upon participation, I/we understand that I/we must be free from any influence of alcohol or drugs, and declare I/we am/are capable of participating in physical use of kayaks, Pedal Boat, and equipment
I/we hereby release, discharge, hold harmless, indemnify, and defend Hidden Lake Retreat LLC, its owners and its employees, from any and all claims, losses, injuries, or death which may arise from my/our participation in the activities and use of equipment of Hidden Lake Retreat LLC.
By signing the Terms and Conditions, I/we have read this waiver and release and agree, with full knowledge in giving this consent. I/we have had the opportunity to ask questions and by which any and all information or matter pertaining to the participation in the activity and use of equipment have been explained to me and answered to my full satisfaction. I/we understand and agree that the signature I/we provide shall have the same legal effect as drawn on a physical document.
