Stillwater RV Resort Policies & Rules

All guests are responsible for adhering to the following policies and rules, so please read carefully and thoroughly.

RESERVATION POLICIES

PAYMENT

Payment in full is due at time of booking reservation. We do not accept personal checks. Discounts for military, first responders, and law enforcement will be given at check-in with proof of valid ID and refunded to your card or be given a camp credit.

CANCELLATION POLICY/RESERVATION EDIT/CHANGE

Full refunds or camp credit (your choice) will be issued for cancellations made outside of 30 days from the booked date. For cancellations made between 3 and 30 days of the booked date, only camp credit will be issued and a $25 cancellation fee will be charged to the credit card on file. Cancellations made within 3 days (72 hours) of the booked date are non-refundable. A $10 admin fee will be charged any time a reservation is edited/changed/moved.

CHECK-IN/CHECK-OUT

CAMP-HOUSE & RV RENTALS

- Check out is 11:30AM
RV Sites
- Check-in 1:30 PM
- Check-out 11:30 AM

Each guest must check-in at the front office upon arrival.

All guests will be escorted to their site after check in during business hours.

All after hours arrivals MUST check-in at the office by 10:00 am the following day.

Reservations will not be held after 11:00 am on the morning AFTER the scheduled arrival date, and the site will be released with no refund issued.

HOLIDAY AND WEEKEND RESERVATIONS

A 2-night minimum is required during the weekends and a 3-night minimum is required for Memorial Day, 4th of July and Labor Day reservations.

SITE LOCATIONS & RV SPECIFICATIONS

Campers are responsible for the cleanliness of their campsite.

Portable or inflatable swimming pools, clothes lines, fireworks, tents are prohibited.

Site numbers are subject to change prior to arrival unless a site lock fee was paid with your reservation.

Tents/Pop-up campers/truck campers are not allowed.

Only one camping unit is allowed at the designated campsite.

All RVs must be self-contained (has a bathroom and tank system for holding water) to occupy a site.

All RVs over 10 years old must have prior approval before reservation will be accepted. Current photos of all four sides of the unit can be sent via email to info@stillwaterrvresort.com. Approval is at the discretion of management.

The following are examples of unacceptable RV exterior conditions (including but not limited to):
- Excessive faded paint and or decals.
- Dents and noticeable other damage.
- Torn or ripped awnings.
- Non factory equipped AC units. (Window units)
- Excessive rust and or dirt.

PERMITTED OCCUPANTS & WRISTBANDS

Reservation includes 4 guests per site; there will be an additional fee of $10 per additional person. Maximum 8 guests per site. Campsite must be reserved and occupied by a person 21 years of age or older. Parent/Legal Guardians are responsible for all children under the age of 16 at all times.

While on resort property, assigned individual wristbands are required to be worn by registered guests at all times, no exceptions.

Outside guests (anyone not part of the initial reservation and overnight stay) are not allowed within Stillwater RV Resort. Except for special events, we do not offer day passes to the public.

AMENITIES & FACILITIES

Please remember that all amenities are on a seasonal and weather dependent basis that may have limited hours during the spring and fall. We reserve the right to close any facilities at our discretion without prior notice. Please refer to posted rules and regulations throughout the property for additional information on our amenities. Specific locations require guests to display their property-issued wristband to access amenities.

No outside food or beverages are allowed at pools/lazy river.

Glass containers are strictly prohibited within common areas of the resort.

Swimming in any water other than the pools/lazy river and Wibit pond is not allowed.

POOL RULES
- NO OUTSIDE FOOD OR ALCOHOLIC BEVERAGES ALLOWED (WE APOLOGIZE FOR THE INCONVENIENCE THIS IS A TABC RULE)
- NO COOLERS
- NO PETS ALLOWED IN THE POOL AREA
- NO TUBES ALLOWED IN THE POOLS
- FOR YOUR CONVENIENCE WE OFFER POOLSIDE SERVICE . PLEASE UNDERSTAND FOR THIS SERVICE WE CHARGE A GRATUITY OF 20%. YOUR WELCOME TO PLACE YOUR ORDER IN THE CLUB HOUSE WITH NO ADDITIONAL FEE.
- The pools are heated through November UNTIL the outside temperature drops to 55 degrees.

MANAGEMENT RESERVES THE RIGHT TO DENY USE OF THE POOLS TO ANYONE ANYTIME

WIBIT (FLOATING LAKE OBSTACLE COURSE) RULES

All guests must wear a life jacket at all times-no exceptions.
Only use during official opening hours after registration with the attendant.
Guest must show proper wristbands to attendant before entering.
Only use when attendant is present.
Do not use in darkness.
Do not jump from high points onto other objects or people.
No diving or sliding headfirst.
Do not dive underneath the Wibit.
No smoking.
No access after consuming alcohol or drugs.
No food or drink on the floating playground.
Remove watches, jewelry, keys, or other sharp objects before entering.
For safety reasons, do not access if you are pregnant.
No access to children under the age of 6 years.
No access to people shorter than 3 foot 7 inches.
Ensure there are no people or objects in the water before jumping from any area of the floating playground.
Do not ingest lake water.
Attendant may expel people who endanger their own safety or that of others.
Guest must rinse off after exiting Wibit pond to enter pool area.
Everyone must exit Wibit pond immediately after the first sound of thunder or visible lightning. No refunds for inclement weather closings.
Failure to comply with any set forth rules will result in expulsion from Wibit pond with no refund.
Anyone caught in the Wibit pond during non-operational hours will be subject to removal from the resort.

GENERAL RULES

QUIET HOURS

Quiet hours are from 11PM-8AM. During quiet hours there is no loud talking, loud radios, loud televisions, or other loud noises allowed. The use of generators is also prohibited. We do enforce a curfew-anyone under the age of 18 years of age may not leave their site after 11PM except to go to and from the bathhouse facilities and/or there is a Stillwater sponsored special event.

RESPECT YOUR NEIGHBOR

Please be considerate of your neighbors’ privacy and space. Music that is audible beyond the immediate vicinity of the site is prohibited. Do not walk on, or pass through, the site of another guest. Refrain from any inappropriate language and actions with respect to race, religion, sexual orientation, and politics. The presence of any controversial language, actions, visuals, or symbols that may be deemed offensive or inappropriate (i.e. confederate flag, swastika, racial slurs, ect.) will not be permitted on our property.

SMOKING & ALCOHOL

Smoking is permitted in designated areas only and at campsites with proper disposal of butts. There is no smoking allowed in RV rentals or camphouse. Alcohol is permitted by legal drinking age adults at your site or rental. Due to TABC guidelines and in accordance with our TABC license, guests may not bring alcoholic beverages within the common areas or amenities of the resort. Guests 21 years of age and older, will be able to purchase alcoholic beverages in these areas.

PICNIC TABLES & FIRE PITS

Each site is provided with one picnic table. Picnic tables are to remain on the concrete pad and not moved for any reason.

With the exception of portable, self-contained, stainless steel wood burning stoves (management approved); no fires at campsites. The resort provides communal fire pits in various locations on the property. Never leave a fire unattended. County bans may occur and will be posted at the office.

PETS

All pets must be kept on a leash unless inside the dog park. Guests with pets must clean up after them, no exceptions. No pet pens are allowed. Pets are not permitted in any buildings, pools, or beach areas. Pet waste must be picked up and disposed of properly. Maximum leash length not to exceed 6 feet. No pets allowed for camp house or RV rentals. Pets are the responsibility of the owner. Management reserves the right to restrict disruptive or aggressive pets. Upon check-in, please notify the office of your pets if you have not already added them to your reservation during the booking process. Guests with pets will be required to sign our Pet Policy upon check-in. Limit 2 pets per site.

GARBAGE

Trash pick-up is provided daily. Leave trash bags visible near the road by 9AM. Please DO NOT leave trash out overnight.

SEWER HOOKUP

All sewer hoses must be undamaged, and sewer connections must be tight. Replacement sewer hoses and sewer donuts can be purchased at the camp store.

WASTE WATER

The discharge of any waste water (septic or gray water) is strictly prohibited. Violators will be subject to a fine and possible eviction from the property. Formaldehyde products are not permitted.

VEHICLES, PARKING, RESORT ROADS & SPEED LIMIT

Speed limit of 5mph is strictly enforced. Failure to obey speed limits may result in removal from the property without a refund.

The use of electric or gas-powered play vehicles (UTVs & ATVs), other than electric golf carts, is prohibited.

No driving or parking on grass areas.

Washing of vehicles and campers is not allowed on the property.

BIKES & TRANSPORTATION

In addition to following local regulations, we recommend that all riders wear a helmet while riding a bicycle. Bike riders must obey the same rules of the road as motor vehicles. When operating a bike after sunset, you must have a light on both the front and back of the bike. These lights may be purchased from the camp store.

Motorized items such as drones, motorbikes, hoverboards and similar motorized recreational items are prohibited.

Bikes must be back at the campsite before quiet hours (11PM).

Bikes/scooters are not allowed in any common areas or pool area.

GOLF CART RENTALS

All guests renting golf carts will be required to sign the Stillwater Golf Cart Agreement at check in.

Golf carts are to be used on Stillwater roads only and may not exceed the posted speed limit.
Sidewalk and off-road use is prohibited.
Resort owned golf carts will not be permitted to be driven off the property for any reason.
For golf cart rentals there is a 2 day minimum on weekends/3 day minimum on holiday weekends.
Operators of golf carts must adhere to all applicable state laws.
Operators of golf carts must possess a valid driver’s license.
Occupancy may not exceed limits set by the manufacturer.
Operators and passengers must remain seated while the vehicle is in motion.
No one may sit in the lap of the operator or a passenger.
Golf carts must be equipped with functional headlights and taillights to be operated at night.
Any damage caused during the rental period is the responsibility of renter.
Operation of golf carts while consuming or under the influence of alcohol, marijuana or illicit drugs is strictly prohibited.

The resort manager, or representative may, at their discretion, cause the removal or limit the stay of persons or vehicles causing any disturbance or in any way creating a nuisance.

GUEST-OWNED GOLF CARTS

Personal golf carts must be electric and in excellent mechanical and exterior condition. Email current pictures to info@stillwaterrvresort.com for approval prior to reservation.

Personal golf carts must be registered with the front office at check in. There will be a $10 daily fee.

All guests using personal golf carts will be required to sign the Stillwater Golf Cart Agreement at check in.

Guests using their own golf carts are required to adhere to the same rules as golf cart renters.

FIREWORKS

The use of fireworks, including sparklers and explosives of any kind, are not permitted under any circumstances. Anyone caught with fireworks may be asked to leave the premises without a refund.

FIREARMS & WEAPONS

Guests must obey all federal, state and local laws regarding the ownership and possession of firearms and weapons. Firearms and weapons are not permitted in any building or common areas of the resort. If firearms or weapons are brought onto the property they must remain locked in your camper or vehicle. The discharge of firearms, BB guns, air guns/rifles, or similar devices is strictly prohibited. Failure to comply with this policy may result in removal from the property without a refund.

EMERGENCY

Dial 911 in case of an emergency.

Persons failing to comply with rules, requests, or instructions from resort staff will be asked to leave the resort immediately without further notice or refund. Rules and regulations are subject to change at any time.

Occupancy may not exceed limits set by the manufacturer.
Operator and passengers must remain seated while vehicle is in motion.
No one may sit in the lap of the operator or a passenger.
Golf carts must be equipped with functional headlights and taillights to be operated at night.
Golf carts must be back at the designated campsite by the beginning of quiet hours—11PM.

PROHIBITED USES OF THE CART THAT VIOLATES THE RENTAL AGREEMENT:

To push or tow anything.
To be used on public roadways.
To carry persons for hire.
To intentionally cause damage or to engage in grossly negligent conduct.

The cart may be driven by the authorized renter or the renter’s delegates ONLY.

Renter warrants that they are at least 21 years of age, and all drivers will have a valid driver’s license.

I will return the cart to the designated place, on the date and time noted on the rental agreement in the same condition as when I received the cart.

I am aware that if the cart is kept longer than the agreed upon date without the consent of Stillwater RV Resort there will be an additional fee.

Flat tires are the responsibility of the renter. Renter is also responsible for the charging and cleaning of the cart before return.

Renters are responsible for battery charging for overnight rentals.

RENTER IS 100% RESPONSIBLE FOR DAMAGES AND/OR MISSING PARTS TO AND FROM THE CARTS AND IS PAYABLE IMMEDIATELY!! The credit card provided at the time of booking may be charged for the damages.

RENTER IS 100% RESPONSIBLE FOR ALL LOSSES THAT ARISE AFTER THE CART HAS BEEN DELIVERED TO RENTER UNTIL THE CART IS RETURNED BACK TO STILLWATER RV RESORT. WHETHER IT IS THE RENTER’S FAULT OR NOT, LOSS INCLUDEDS THE TOTAL RETAIL COST OF THE CHART AND CHARGER, ATTORNEY FEES, AND COURT COSTS IF INCURRED.

Renter agrees to indemnify, defend, and hold harmless Stillwater RV Resort and its owners, employees, and principles against and from ALL liabilities, damages, claims, actions, cost and expenses (including attorney fees and expenses) arising from use of the carts.

Stillwater RV Resort Pet Waiver

I hereby agree to the following regulations and conditions relating to my pet(s) while camping at Stillwater RV Resort with my

pet(s). Limit 2 pets per site.

1. Excluded Areas. I agree to keep my pet out of the following areas including, but not limited to, the clubhouse, food and beverage areas, the pool and pool deck, Wibit pond, arcade, fitness center, playgrounds and pavilions.

2. Excluded Pets. I agree that Stillwater RV Resort has the sole discretion to exclude pets. The basis for exclusion may include, but is not limited to the following:

breed-specific exclusions;
due to their young age are exempted from state or local law vaccination requirements;
are sick;
are in heat;
are aggressive, vicious, dangerous or potentially dangerous;
require muzzling; or
are easily frightened or sensitive, resulting in disruptive behavior (such as fighting or biting) in response to a stimulus.

3. Supervision. I agree to maintain control of my pet(s) by an adequate leash (no longer than 6 feet) or in a carrier while on Resort property. I understand that I may not leave the pet unattended at the campsite outside of my RV camper. I agree to prevent noise or any other disturbance by my pet, in the interest of other guests at the resort. I further agree to pick up after my pet and dispose of all waste in appropriate containers.

4. Vaccinations. I represent and warrant that my pet is up to date on all vaccinations (including rabies and distemper) and flea treatments.

5. Disturbances. I agree that, should my pet create any disturbances, which cause complaints to be made to the management by other guests or employees of the resort, at the request of a resort employee, I will immediately make arrangements to house my pet elsewhere outside the resort. Additionally, I understand and agree that if I do not find alternative housing for my pet after being asked to do so, I will be asked to leave the resort and will not be issued a refund.

6. Assumption of Risk and Release. I understand that my permission to have my pet at the resort with me is a privilege and not a contractual right. Such permission is expressly conditional upon my adherence to the terms of these rules and other rules in effect at any given time. I understand that the resort may revoke such permission at any time for any reason. Additionally, I hereby assume all responsibility of risks, injury, damage, other harm that may occur while my pet is at the resort or caused by my pet. Further, I hereby knowingly and voluntarily expressly release and discharge the resort, its owner, its agents, its parent companies, members, managers, directors, officers and employees (“Released Parties”) from any and all claims, damages, liabilities, injuries, demands, or causes of action, both present and future, whether known, unknown, anticipated or unanticipated, that me or my guests or invitees may have against any of the Released Parties arising out of or incident to my pet's presence in the resort, whether arising from any act or omission, whether negligent or otherwise, of me, my pet and/or any guest or invitee. I further agree to indemnify each of the Released Parties for any and all such claims, damages, liabilities, injuries, demands, or causes of action, including costs, expenses, and attorney’s fees arising as a result of or related to the presence of the dog at the resort. This provision shall be enforceable to the fullest extent of the law.

7. Acknowledgment. By signing below, I acknowledge that I have read the foregoing Assumption of Risk & Release and fully understand its provisions and implications. My execution of this Release is entirely voluntary and intended to be binding on my heirs, executor s, legal representatives and assigns.

I have read this Pet Waiver and understand it is my responsibility to abide by the Rules. I further understand that it is my responsibility to ensure that my guests and invitees also comply with the Rules. Failure to adhere to the policies and rules set forth herein may result in my removal from the Campground without a refund.
