Terms & Conditions
# {Park Name} Terms & Conditions
Effective: October 1, 2026
## 1. Scope
These Terms & Conditions apply to all reservations and stays at {Park Name}, operated by Quality RV Resorts (QRV). By making a reservation or staying on property, you agree to these Terms & Conditions.
## 2. Definitions
For clarity in these Terms:
a. "Guest" means the person who makes the reservation and any person occupying the site or rental unit.
b. "Reservation" means any confirmed booking for a site or rental unit.
c. "Resort" means {Park Name}, operated by Quality RV Resorts (QRV).
d. "QRV" means Quality RV Resorts, the operator/owner, or its designated agent.
e. "Nightly / Daily Rate" means the posted or confirmed per-night rate for a site or unit.
f. "Resort Credit" means a non-cash credit issued by QRV toward a future stay.
g. "Rodeo Period" has the meaning given in Section 8.
h. "QRV+" means the QRV+ Rewards loyalty program, and "Program Terms" means the separate QRV+ Rewards Program Terms and Conditions.
i. "Member" means a Guest enrolled in QRV+ at any tier.
## 3. Rates & Booking
a. Rates vary by date, site type, length of stay, and demand. Quoted rates are not guaranteed until the reservation is confirmed.
b. Minimum-stay requirements may apply on holidays, weekends, and special event dates.
c. Promotional codes and discounts must be applied at the time of booking, cannot be combined unless stated, and are not applied retroactively to existing reservations.
## 4. Reservation Deposit & Payment
a. Daily / Weekly Reservations: 50% prepayment is required for reservations of fewer than 28 nights. The remaining balance is due at check-in.
b. Monthly Reservations: 50% of the first month's rate is required as prepayment for reservations of 28 nights or more. The remaining balance of the first month is due at check-in.
c. Monthly billing: After the first month, monthly Guests are billed in advance for the next month on the anniversary of their arrival date. Each monthly invoice also includes metered electricity for the previous month (Section 18).
d. If a payment is declined, the reservation may be cancelled under the Refund & Cancellation Policy (Section 6), and late fees may apply under Section 11.
e. Electricity deposit: Where sites are metered, a refundable $100 electricity deposit is charged for monthly reservations and applied toward final electric usage at check-out. Any remaining balance is refunded after meter reconciliation.
f. Park Model security deposit: Where Park Models are offered, a refundable $200 security deposit applies to Park Model rentals unless otherwise posted.
g. Booking / Processing Fees: Any booking, reservation, or processing fees charged at the time of booking, including fees charged by our online booking platform or third-party channels, are non-refundable under all circumstances unless otherwise stated in writing by management.
## 5. Deposit, Hold Release & Security Deposit Timing
a. Card holds / authorizations: Holds may be placed at booking or check-in. Holds are released per card issuer rules and may take 7–14 business days to drop from a Guest's statement.
b. Refund timing: When a refund is due, QRV will process it to the original payment method within 7 business days. Posting to the Guest's account may take an additional 7–14 business days depending on the bank or processor.
c. Security deposit refunds: Security deposits (Park Model or electric) are reconciled at check-out and refunded within 7 business days after the final invoice and meter reconciliation, less any deductions for damages, missing inventory, or outstanding charges.
## 6. Refund & Cancellation Policy
a. Cancellations 30 or more days before arrival: Full refund, less any non-refundable booking/processing fees.
b. Cancellations 8–29 days before arrival: Cancellation fee equal to one night's rate. Booking/processing fees remain non-refundable.
c. Cancellations 7 days or fewer before arrival: No refund or credit. Booking/processing fees remain non-refundable.
d. No-shows / Early departures: No refund or credit. Booking/processing fees remain non-refundable.
e. Weather / Unforeseen Events: No refunds for weather. Force majeure events are handled under Section 43.
f. Management may grant refunds or Resort Credits at its discretion for exceptional circumstances. Such decisions are final and do not set a precedent for future stays.
g. Booking / Processing Fees: Booking, reservation, and processing fees are separate from nightly/site charges and are non-refundable in all circumstances unless QRV explicitly states otherwise in writing.
h. Resort Credits expire one year from the date issued, have no cash value, and may not be transferred.
i. Rodeo Period reservations at participating resorts are non-refundable. See Section 8.
j. The QRV+ Platinum membership fee is not a reservation charge and is not covered by this Section. See Section 45.
## 7. Reservation Changes
a. Changes to arrival or departure dates made 8 or more days before arrival receive one courtesy change at no charge. Each change after that incurs a $45 change fee, plus any difference in rate.
b. Arrival and departure dates may not be changed within 7 days of arrival. A request to change dates inside that window is treated as a cancellation under Section 6.
c. Shortening a stay after check-in is treated as an early departure under Section 6.
d. Changes that reduce the reservation total (fewer nights, occupancy, or pets) are issued as a Resort Credit, not a refund.
e. Site type changes are subject to availability and any difference in rate.
f. Rodeo Period reservations at participating resorts cannot be changed. See Section 8.
## 8. RodeoHouston Reservations
a. Participating resorts. This Section applies only to reservations at Lakeview RV Resort, Southlake RV Resort, and AllStar RV Resort.
b. Rodeo Period means the dates of the Houston Livestock Show and Rodeo each year, including the World's Championship Bar-B-Que Contest, as published by the Houston Livestock Show and Rodeo. The 2027 Rodeo Period is Thursday, February 25 – Sunday, March 21, 2027.
c. At participating resorts, this Section applies to any reservation booked at a Rodeo rate or with an arrival date during the Rodeo Period. It does not change the rate or terms of monthly Guests already on property at standard monthly rates.
d. Non-refundable. Rodeo Period reservations are non-refundable once booked. No refunds or Resort Credits are issued for cancellations, no-shows, late arrivals, or early departures for any reason.
e. Non-changeable. Rodeo Period reservations cannot be changed once booked. This includes changes to arrival or departure dates, number of nights, site type, Guest name, or transfer to another QRV resort.
f. Payment. Rodeo Period reservations must be paid in full at the time of booking.
g. No exceptions for event changes or personal circumstances. Weather, traffic, changes to the Rodeo schedule or entertainment lineup, ticket availability, illness, travel delays, and other personal circumstances do not qualify for a refund, credit, or change. Guests are encouraged to purchase travel insurance.
h. Event cancellation. If the Houston Livestock Show and Rodeo is cancelled, shortened, or postponed by its organizers or by government order, QRV is not obligated to issue a refund. QRV may, at its sole discretion, offer a Resort Credit.
i. No resale. Rodeo Period reservations may not be resold, sublet, or transferred. A reservation found to be resold or sublet will be cancelled without refund.
j. Discounts. Promotional codes and discounts do not apply to Rodeo rates unless QRV states otherwise in writing.
k. Third-party bookings. Rodeo Period reservations made through third-party channels are also subject to this Section, in addition to the channel's own terms.
l. At participating resorts, this Section overrides Sections 6 and 7 for all Rodeo Period reservations.
m. QRV is not affiliated with the Houston Livestock Show and Rodeo. Reservations do not include event tickets, parking, or transportation unless stated in writing.
## 9. Check-In / Check-Out & No-Shows
a. Check-in and check-out times vary by property. Please refer to your confirmation email or check with your on-site property manager. Contact the office if arriving outside business hours.
b. Late departures: Departures up to 3 hours after the posted check-out time incur a $25 fee (subject to availability). Departures later than that are charged the daily site rate (subject to availability).
c. Early check-in or late check-out may be available for an additional fee. Contact the office.
d. No-shows: If a Guest does not arrive or contact the office by the posted check-out time on the day after the scheduled arrival date, the reservation is cancelled as a no-show, all payments are forfeited under Section 6, and the site may be released.
## 10. Office Hours
a. Office hours vary by property. Please check with your on-site property manager or the {Park Name} office for current hours.
b. Holiday hours may vary. Posted hours govern.
## 11. Payments, Late Payments & Returned Payments
a. Payments more than 3 days past the due date incur a $40 administrative fee.
b. Returned/NSF payments (including checks) incur a $40 returned payment fee.
c. Chargebacks found to be without merit incur a $50 administrative fee and may be referred to collections.
d. ACH failures: The Guest must provide an alternate payment method within 72 hours of notification. If it is not received, late fees, site suspension, or ejection procedures may apply. Repeated failures may require prepayment for future stays.
## 12. Delinquent Balances, Collections & Debt Recovery
a. A reminder notice is sent 3 days after the due date. Continued nonpayment may lead to ejection beginning on day 5.
b. Accounts unpaid after 10 days may be referred to a collection agency and may incur collection fees, interest, and attorney's fees, all recoverable from the Guest.
c. QRV reserves the right to use all legal remedies to collect unpaid balances, including civil litigation and recovery of legal costs, collection fees, and administrative fees.
d. For long-term or commercial Guests, QRV may pursue statutory lien remedies where permitted by law.
## 13. Rate Changes for Extended Stays
a. Monthly and extended-stay rates are subject to change. Guests currently on property will receive at least 30 days' written notice before a rate change takes effect.
b. Rate changes take effect on the Guest's next anniversary billing date after the notice period ends. A Guest who does not wish to continue at the new rate may give notice of departure before the new rate takes effect.
c. Rates for new reservations follow the rate sheet in effect at the time of booking.
## 14. Storage, Abandoned Property & Lien Rights
a. QRV may remove, impound, or place a lien on abandoned or non-operational vehicles, trailers, or personal property after reasonable notice where the law allows.
b. If personal property is declared abandoned and not reclaimed within the required notice period, QRV may sell or dispose of it to recover charges (storage, towing, repairs) in accordance with applicable law. Guests are responsible for all related costs.
## 15. Site Assignment, Lock Site Fee & Manager Holds
a. QRV guarantees the reserved site type but not a specific site number unless a Lock Site Fee is paid. Site numbers may change before arrival.
b. Managers may place holds behind current reservations to accommodate potential extensions. Holds are not confirmed until payment is collected.
c. Resort staff should add reservation notes for special conditions (original check-in date for long-term stays, special billing, manager holds).
## 16. Right to Inspect & Access
a. QRV and its agents may enter sites or rental units for reasonable inspections, maintenance, repairs, or health and safety checks. Except in emergencies, QRV will provide reasonable advance notice (typically 24 hours) before non-emergency entry.
b. Guests must allow access for repairs, meter readings, or maintenance. Refusal may result in service suspension or termination of the Guest's license under Section 49.
## 17. Security Holds, Incidentals & Card on File
a. QRV may place a security authorization at check-in to cover incidentals, damages, or unpaid balances. Amounts and hold duration are at management's discretion.
b. Guests must keep a valid card on file for the length of their stay. Charges for damages, missing inventory, cleaning, fees, or unpaid balances may be applied to the card on file.
## 18. Utilities, Metering & Disputes
a. Electricity for metered sites is billed at the posted rate. Monthly Guests are billed for the previous month's electric usage on each anniversary billing date.
b. Final electric usage is reconciled using the meter read at check-out and deducted from the electricity deposit. Any remaining balance is refunded, and any shortfall is charged to the card on file.
c. Meter disputes must be submitted in writing within 7 days of the invoice in question. QRV's reconciliation is final unless evidence supports a different outcome.
d. Guests may not tamper with, bypass, or alter meters, pedestals, or utility connections. Tampering may result in charges for estimated usage and repairs, and ejection.
## 19. Wi-Fi Guidelines
a. For access, refer to your confirmation email or see the Resort office.
b. For 24/7 support, call 1-888-507-1128.
c. Wi-Fi is provided as a complimentary amenity. QRV is not responsible for Wi-Fi performance during critical tasks such as online education, remote work, or time-sensitive projects. Guests performing such tasks should use a personal hotspot or other backup connection.
d. Wi-Fi may not be used for illegal activity or bandwidth-heavy use that disrupts service for other Guests.
## 20. Park Model Rentals & Housekeeping
a. Guests receive a rental unit inventory at check-in. Missing or damaged items are charged to the Guest.
b. Smoking, vaping, and pets are prohibited inside Park Models. Violations may result in remediation charges, damage charges, and/or ejection.
c. Housekeeping beyond standard turnover is available for a fee.
d. QRV may require periodic inspections of rental units for maintenance. Where possible, Guests will be given prior notice (Section 16).
## 21. Golf Cart Rentals & Personal Carts
a. Where available, golf cart rentals are subject to a separate rental agreement, posted rates, and availability.
b. The renter must be at least 21 years old with a valid driver's license and a major credit card. Only licensed drivers may operate a golf cart. Carts must follow the 5 mph speed limit and all vehicle rules in Section 22, and may not be operated off property.
c. The renter is responsible for damage, loss, and misuse of rented carts, including charges applied to the card on file.
d. Personal golf carts must be registered with the office and may be subject to proof of insurance.
## 22. Vehicle Policies, Towing & Parking
a. The Resort speed limit is 5 mph. Violations may result in warnings or ejection.
b. Do not park on or block empty sites. Violators may be charged daily site rates or towed at the owner's expense. Each site normally allows parking for two vehicles. Extra vehicles must park in designated overflow areas where available.
c. Vehicle maintenance is not allowed on property unless approved by management for emergency repairs. Unauthorized vehicles may be impounded or towed.
d. Bicycles, e-bikes, and scooters must follow the speed limit, yield to vehicles and pedestrians, and use lights after dark. They are not permitted in buildings or the pool area. This does not apply to mobility devices used by individuals with disabilities.
## 23. Visitors, Occupancy & Identity Verification
a. Maximum occupancy per site is 8 persons (registered Guests plus visitors). Maximum visitors at one time is 4. All visitors must check in at the office.
b. Visitors may not bring pets onto the property.
c. The person making the reservation must be at least 18 years old and must be present at check-in.
d. QRV may verify Guest identity and require photo ID at check-in. Identification and Guest lists may be required for extended stays or special events. Minors must be supervised by an adult.
e. Guests are responsible for the conduct of their visitors.
## 24. RV Condition & Site Standards
a. RVs must be in good, safe, operable condition and fully self-contained. QRV may decline or end a stay for units that are unsafe, leaking, or in visible disrepair.
b. Sewer connections must use a sealed, leak-free fitting. Water pressure regulators are recommended.
c. Sites must be kept clean and free of trash, clutter, and outdoor storage beyond posted rules.
d. Flags, signs, and decorations may not display obscene, threatening, or harassing content, and commercial signs are not permitted without approval. Management may require removal.
## 25. Guest Conduct
a. Guests and visitors are expected to treat other Guests, neighbors, and staff with courtesy and respect.
b. Harassment, threats, abusive language, fighting, public intoxication, illegal activity, and disorderly behavior are prohibited and may result in immediate ejection without refund and reporting to authorities.
## 26. Firearms & Weapons
a. Guests must comply with all federal, state, and local laws regarding the possession and transport of firearms.
b. Firearms are not permitted in Resort buildings or common areas where posted.
c. Discharging firearms, BB guns, air guns, pellet guns, bows, or similar devices on property is strictly prohibited.
## 27. Pet Policy & Requirements
a. QRV enforces a one-strike policy for serious pet rule violations. Pets must be leashed and under control at all times and are not allowed in buildings or pool areas.
b. Guests must pick up after pets. Failure to do so results in a $25 fee for a first offense and possible ejection for repeated violations.
c. Pets may not be left unattended outdoors. Proof of current vaccinations may be required. Management may restrict certain breeds or sizes by policy and may require removal of aggressive or disruptive pets.
d. Guests are responsible for any noise, injury, or damage caused by their pets.
## 28. Pool & Common Area Rules
a. Pool rules and hours are posted at the pool. No glass containers. Appropriate swimwear is required. Children must be supervised by an adult at all times.
b. If a lifeguard is not present, swimming is at the Guest's own risk, and supervision of children is the parent's responsibility. QRV may close the pool for maintenance, weather, or safety reasons.
c. Where the Resort has a lake, pond, or other body of water, swimming is prohibited unless posted otherwise. Fishing and boating follow posted rules. Wildlife may be present; do not feed or approach wildlife.
## 29. Fire, Grills & Open Flame
a. Fireworks are strictly prohibited.
b. Campfires must be in designated areas or approved containers and attended at all times. Charcoal and propane grills must be used in safe locations and comply with posted rules, local ordinances, and any active burn bans.
## 30. Generators & Equipment
a. Generator use is restricted to posted hours and must not create a nuisance. Generators causing disturbances may be required to stop or be removed. Quiet hours are enforced (Section 32).
## 31. Events, Amplified Sound & Permits
a. Events and amplified sound require prior written approval. Events require an event permit and a refundable event deposit, and may require insurance naming QRV as additional insured. Unauthorized events risk ejection without refund.
## 32. Quiet Hours & Noise Enforcement
a. Quiet hours vary by property and are posted at the Resort. Please check with your on-site property manager.
b. Excessive noise during quiet hours, or at any time, may result in warnings and ejection for repeated violations.
## 33. Smoking & Vaping
a. Smoking and vaping are prohibited inside all Resort buildings, rental units, and the pool area, and are allowed only in designated or permitted outdoor areas.
b. Guests must dispose of cigarette butts and smoking materials safely.
## 34. Subletting, Resale, Commercial Use & Third-Party Bookings
a. Reservations may not be resold, sublet, or used commercially without prior written approval. Unauthorized resale voids the reservation without refund.
b. Third-party or OTA bookings may be subject to different fees or channel policies. Refunds and cancellations for third-party bookings follow the third party's terms. QRV's obligations are limited to what is confirmed through the booking channel.
c. Operating a business that brings customers, deliveries, or signage to the site requires prior written approval.
## 35. Site Alterations & Property Modifications
a. No permanent sheds, decking, or unauthorized structures are allowed without written approval. Temporary furniture and awnings are permitted per posted rules. Approved improvements must be removed and the site restored at departure unless a written agreement states otherwise.
b. Guests may not dig, drive stakes, or install anything into the ground without approval, due to underground utilities.
## 36. Prohibited & Hazardous Materials
a. Storage or improper handling of hazardous materials (large unsecured propane cylinders, flammable liquids, corrosives, illegal drugs) is prohibited and may result in immediate ejection and reporting to authorities.
## 37. Photography, Marketing Release, CCTV & Drones
a. QRV may photograph or film public Resort areas for marketing. By staying on property, Guests grant QRV the right to use images that may incidentally include them unless a written opt-out is provided before or during the stay.
b. Public areas may be monitored by CCTV for safety and loss prevention. Footage may be used for incident investigation and retained per QRV policy.
c. Drone use over the Resort requires prior management approval.
## 38. Data, Privacy & Communications Consent
a. Guests consent to receive operational and reservation communications (email, SMS, phone). Guests may opt out of marketing, but essential operational messages (check-in instructions, safety alerts, billing notices) may still be delivered.
b. QRV+ Members also receive program communications as described in the Program Terms.
c. For detailed privacy practices, see our Privacy Policy at qualityrvresorts.com. Guests may request data access or deletion per applicable privacy laws.
## 39. Insurance Requirements & Recommendations
a. QRV strongly recommends Guests maintain personal liability and property insurance (RV, contents, travel). For events or vendor activities, QRV may require proof of commercial general liability insurance with specified limits and an additional insured endorsement.
## 40. Damage, Smoking Remediation & Cleaning Fees
a. Guests are responsible for all damages and missing inventory. Repair or replacement costs will be charged to the Guest.
b. Smoking or vaping inside rental units or enclosed spaces incurs a minimum $250 remediation fee plus actual replacement and cleaning costs.
c. Excessive cleaning beyond standard turnover is charged at actual cost plus a $50 administrative fee. Charges may be applied to the card on file.
## 41. Lost & Found
a. Items left behind are kept for 30 days. Perishables are disposed of immediately. Guests requesting shipping of found items pay shipping and handling. Items unclaimed after 30 days may be donated or discarded.
## 42. Severe Weather & Evacuation
a. Guests are responsible for monitoring weather conditions and following all instructions from local authorities and Resort management.
b. If a mandatory evacuation is ordered, or management determines conditions are unsafe, Guests must leave the property and remove or secure their RV and belongings as directed.
c. QRV is not responsible for damage to RVs, vehicles, or personal property caused by weather, flooding, or falling trees.
d. Weather does not qualify for refunds or credits (Section 6). Force majeure events are handled under Section 43.
## 43. Force Majeure / Unforeseen Events
a. QRV is not liable for failure to perform due to events beyond its control, including natural disasters, severe weather, government orders, pandemics, utility outages, and strikes. Management will make reasonable efforts to assist affected Guests but is not obligated to issue refunds beyond policy. For force majeure events, QRV will communicate procedures and alternatives as practicable.
## 44. Accessibility
a. Guests who need an accessible site or reasonable accommodation should contact the Resort office before arrival so we can work to meet their needs. Service animals are permitted where pets are not, as required by law.
## 45. QRV+ Rewards Program
a. Participation. {Park Name} participates in QRV+, the Quality RV Resorts loyalty rewards program. Enrollment is optional. Gold membership is free; Platinum is a paid annual membership. Program details and full Program Terms are available at qualityrvresorts.com/qrv-rewards-program.
b. Separate agreement. QRV+ membership is governed by the Program Terms, which cover enrollment, earning, redemption, tier benefits, and membership fees. The Program Terms control on matters of points, rewards, and tier benefits. These Terms & Conditions control on everything related to the reservation, the stay, payments, and conduct on property.
c. Reservation obligations still apply. Membership, tier status, point balances, and pending rewards do not waive or reduce deposits, cancellation fees, late fees, damage charges, the Rodeo Period terms in Section 8, or Resort rules unless a QRV+ benefit expressly says so in the Program Terms.
d. Earning and reversals. Points are earned on eligible spend as defined in the Program Terms. Points earned on charges that are later refunded, cancelled, credited, charged back, or left unpaid will be reversed. Reservations booked through third-party channels may not qualify.
e. No cash value. Points and rewards have no cash value and may not be sold, bartered, or transferred except as the Program Terms allow.
f. Platinum membership fee. The Platinum fee is separate from all reservation charges, is not a deposit, and is not refundable under Section 6. Refunds of the Platinum fee are governed solely by the Program Terms.
g. Account standing. QRV may suspend earning and redemption while a Member has a past-due balance, an account in collections, or a pending chargeback.
h. Misconduct and fraud. If a Member is ejected, violates these Terms, or engages in fraud, misrepresentation, or abuse of the program, QRV may reverse points, suspend or terminate membership, and forfeit unredeemed points as provided in the Program Terms.
i. Missing points and changes. Claims for missing points must be submitted within the window stated in the Program Terms. QRV may modify or end the program as provided in the Program Terms.
j. Staff statements. Resort staff cannot change or add to QRV+ benefits. Only the published Program Terms and written notices from QRV are binding.
## 46. Governing Law, Dispute Resolution & Amendments
a. These Terms are governed by the laws of the State of Texas. Venue and jurisdiction are in the county where the Resort is located unless otherwise required by law.
b. QRV may amend these Terms. Material changes will be communicated by email, posted online, and will apply to reservations made after the effective date. When advance notice is given by mass email, amended Terms take effect 10 days after email delivery unless a different date is specified.
## 47. Entire Agreement, Severability & Miscellaneous
a. These Terms, any written Resort rules, signed group or rental agreements, and, for Members, the QRV+ Program Terms constitute the entire agreement between the Guest and QRV regarding the reservation and supersede prior communications.
b. If any provision is held unenforceable, the remainder stays in force.
c. Management reserves the right to refuse service to anyone, subject to applicable law, and to enforce these Terms at its discretion. All fees and fines assessed under these Terms may be charged to the card on file, deducted from deposits, or pursued through collections.
d. QRV's failure to enforce any provision is not a waiver of its right to enforce it later.
## 48. Contact & Emergency
a. For reservations and general questions, contact the {Park Name} office.
b. Emergency: Dial 911 first, then contact the on-site manager if possible. Monthly Guests should provide an emergency contact who is not staying on property.
## 49. Liability Waiver, Indemnification & Acknowledgement
a. By accepting this reservation, Guests waive, release, and discharge {Park Name}, Quality RV Resorts, and their affiliates from claims for personal injury, property damage, loss, or other claims arising from use of the Resort, except where prohibited by law. Guests agree to indemnify, defend, and hold QRV harmless from claims, liabilities, damages, losses, costs, and attorney's fees arising from the Guest's actions, omissions, or negligence, or those of their visitors and pets.
b. Guests acknowledge they are licensees, not tenants. Management may terminate a Guest's license and require immediate departure for violation of these Terms.
c. Management is not liable for non-use of package components or loss of recreational opportunities due to weather or circumstances beyond its control.

By confirming a reservation, the Guest acknowledges they have read, understood, and agreed to these Terms & Conditions, the Reservation Deposit, Refund & Cancellation, Reservation Change, and Rodeo Period Policies, all posted Resort rules, and, if enrolled, the QRV+ Program Terms.
