AMERICA’S OUTDOOR ADVENTURE PARK STANDALONE REFUND POLICY AND DISBURSEMENT PROTOCOL
This document serves as the comprehensive and exclusive governing authority regarding the issuance of refunds, credits, and financial adjustments for all guests of America’s Outdoor Adventure Park and is derived directly from the Master Rental Agreement effective January 1, 2026. This policy operates on the fundamental principle that the Resort’s inventory of specialized outdoor lodging and adventure sites is finite and highly seasonal, meaning that any reservation represents a significant commitment of resources that cannot be easily recovered in the event of a cancellation. Consequently, the Guest acknowledges that all financial transactions with the Resort are governed by a strict non-refundable baseline, with specific and limited provisions for the return of funds only under the precise conditions articulated within this framework. The primary pillar of this refund protocol is the status of the initial twenty-five percent (25%) deposit, which is classified as a non-refundable administrative and inventory-holding fee that is deemed fully earned by the Resort at the moment of the transaction; under no circumstances—including cancellations made well in advance of the stay—is this twenty-five percent (25%) deposit eligible for a refund, as it covers the costs associated with the booking process, digital infrastructure maintenance, and the opportunity cost of removing the unit from the public market.
For Guests who provide formal notice of cancellation thirty (30) days or more prior to their scheduled arrival, the Resort will issue a refund of the remaining seventy-five percent (75%) of the total reservation cost. Once a reservation falls within twenty-nine (29) days of the scheduled check-in, all funds associated with the booking are reclassified as liquidated damages to compensate the Resort for the high probability of the unit remaining vacant, and the standard refund eligibility drops to zero percent (0%). Beyond the standard refund tiers, the Resort maintains a specific financial remedy through the Re-Rent Recovery Program, allowing for a conditional refund of the seventy-five percent (75%) balance only if the Resort successfully secures a replacement booking for the exact dates and unit type at a nightly rate that meets or exceeds the original contract price, subject to a mandatory one-hundred-and-fifty-dollar ($150) administrative deduction. This policy explicitly excludes any refund or financial credit for disruptions caused by external factors including, but not limited to, personal medical emergencies, family tragedies, transportation failures, or inclement weather conditions. A full refund of payments beyond the initial non-refundable deposit will only be considered in the extreme event of a Resort-declared Force Majeure. All approved refunds are processed back to the original form of payment within a standard window of seven (7) to ten (10) business days following the formal approval of the claim, and the Resort does not issue cash refunds or third-party disbursements to ensure financial security and compliance with anti-fraud regulations.
