GENERAL POLICIES
This agreement constitutes a contract between the Guest and Welaka Lodge & Resort, acting as Agent for the Owner of the property.
 

AGE REQUIREMENTS
All guests (other than families checking in together) must be at least 21 years old. For married couples, at least one individual must be 21 years of age. The individual signing the registration must occupy the accommodation for the full length of the rental term.
 

DEPOSITS
A deposit of 50% of the rental rate is required for all reservations. We accept credit cards, checks, or cash for the deposit. Reservations booked less than 14 days prior to arrival require the deposit to be paid by credit card or cash. If paying by cash or check, a valid credit card is still required at check‑in.
 

CHECK‑IN TIME
Check‑in time is 3:00 p.m. If your room is ready earlier, we will gladly accommodate an early check‑in, but it cannot be guaranteed. We make every effort to ensure accommodations are ready by 3:00 p.m., but delays may occur. Our office is open for check‑in until 4:00 p.m. Guests arriving later must make arrangements for late check‑in by phone.
 

CHECK‑OUT TIME
Check‑out time is 11:00 a.m. This time is strictly enforced to allow for cleaning and inspection before the next arrival. All keys must be returned to the office or placed in the mail slot if the office is closed. A late check‑out may be available at a rate of $15.00 per hour.
 

FURNITURE
Please do not move furniture during your stay. If it becomes necessary to move an item, all furniture must be returned to its original position before departure.
 

PET POLICY
Pets are permitted only in designated units and require an associated fee. This policy is strictly enforced. Guests found in violation will be asked to remove the pet or vacate the accommodation without refund. A penalty fee of $50 per night will be added to the bill.
 

OCCUPANCY
Guests agree not to exceed the maximum occupancy listed for the accommodation. Babies requiring a crib are the only exception.
 

LINENS AND INITIAL SETUP
An initial linen setup is provided based on the number of guests. Linens are inventoried, and guests are responsible for any lost or damaged items. Makeup‑removal cloths are provided; please do not use white washcloths for makeup removal. A starter supply of paper products and soap is also provided.
 

SMOKING
All accommodations are smoke‑free. Smoking is strictly prohibited inside all rooms. Smoking is permitted on porches where ashtrays are provided. Please dispose of cigarette and cigar butts properly. The grounds are not an ashtray.
 

DAMAGE OR MISSING ITEMS
Guests are responsible for any damages incurred. If damage or breakage occurs, please notify management as soon as reasonably possible so repairs or replacements can be arranged. Guests will be charged for missing items.
 

KEY POLICY
A locksmith fee will be charged to re‑key any cottage if keys are lost or not returned.
 

PARKING
Parking is limited. Most accommodations do not allow campers, RVs, boats, or trailers to be parked in front. A maximum of two vehicles may be parked on site. Additional vehicles, including trailers, must be parked in the designated storage area.
 

RENTAL BALANCE AND SIGNED REGISTRATION
The remaining balance is due no later than the day before arrival. The reserving party must sign the registration and is responsible for all fees. A valid credit card on file is required for all stays.
 

LOST AND FOUND
Please lock all doors when leaving your accommodation. Do not leave money or valuables unattended; neither the Agent nor the Owner is liable for loss. Check all drawers, closets, cupboards, and under beds before departure. Items left behind will be returned only upon request and at the guest’s expense.
 

REPAIRS
All equipment is subject to malfunction. Issues are addressed as quickly as possible. The Agent or authorized personnel may enter the accommodation during business hours for repairs or maintenance. Refunds will not be issued due to equipment malfunction. Guests can expect prompt, courteous, and professional service.
 

RETURNED CHECKS
A $35 service charge will be added for any returned checks.
 

PROPERTY AVAILABILITY
If the Owner makes the accommodation unavailable or if maintenance issues arise, the Agent shall be held harmless. The Agent will make every effort to move the Guest to comparable accommodations at the same rate. If no comparable accommodations are available, the full deposit will be refunded. All reservations are subject to events and conditions beyond our control.
 

INDEMNIFICATION OF AGENT BY GUEST
Guests agree to indemnify and hold the Agent, its employees, and representatives harmless from any claim or liability arising from or related to the rental, including but not limited to personal injury or property loss incurred by the guest or their invitees.
 

DEPOSIT / PAYMENT
A deposit equal to one‑half of the total bill is required to guarantee your reservation, except for:
•     Reservations made 7 days or fewer before arrival
•     Reservations with special discounted rates
•     Holiday reservations
•     Reservations with no‑cancellation or no‑refund terms
These reservations require full payment upfront at booking or by a specified date before arrival. For all other reservations, the remaining balance is due at check‑in. We accept major credit cards, travelers’ checks, money orders, cashier’s checks, and cash.

OPTIONAL RESERVATION INSURANCE
Enhance your flexibility and peace of mind with our Optional Reservation Insurance, available only at the time of booking. You may choose one of the following protections:
•     6% Reschedule Insurance — Allows you to reschedule your stay one time for any reason, up to the day of arrival. No documentation required.
•     12% Full Refund Insurance — Allows you to cancel your reservation for any reason and receive a 100% refund, up to the day of arrival. No documentation required.

Cancellation & No‑Show Policy (Regular Reservations)

Applies to all standard reservations except group reservations.

Same‑Day Cancellations & No‑Shows
•     Same‑day cancellations are considered No‑Shows.
•     Both will be charged 100% of the reservation total.

Stays Less Than One Week
•     Any cancellations is subject to 20% of deposit.
•     With less than 14 days’ notice, you will loose your full amount of deposit. 

Stays of One Week or More (but Less Than One Month)
•     Cancellation requires at least 21 days’ notice.
•     If proper notice is not given, the deposit becomes non‑refundable.

Stays of One Month or More
•     Cancellation requires at least 30 days’ notice.
•     If proper notice is not given, the deposit becomes non‑refundable.

Holiday Cancellation Policy
The following holidays are subject to a stricter cancellation policy:
•     Memorial Day Weekend
•     Independence Day
•     Labor Day Weekend
•     Thanksgiving
•     Christmas
•     New Year’s

Management may extend the holiday period to include surrounding days. Holiday rates and policies may apply even if the reservation does not include the exact holiday date.

Holiday Payment & Notice Requirements
•     Full payment is required at least 3 weeks prior to arrival for any reservation falling over a holiday period.
•     Holiday reservations require twice the standard cancellation notice for the length of stay.
•     If proper notice is not given, the deposit is non‑refundable.

Early Departures
•     We do not issue refunds for early departures.

Group Reservation Cancellation Policy
A reservation is considered a group reservation when three or more cottages are booked for guests traveling together, even if they are under different last names.
If 1–2 Cottages Are Canceled
•     3 weeks’ notice is required for a refund of the deposit, minus the cancellation fee.
If 3–4 Cottages Are Canceled
•     4 weeks’ notice is required for each cottage to receive a refund of the deposit, minus the cancellation fee.
If 5 or More Cottages Are Canceled
•     5 weeks’ notice is required for each cottage to receive a refund of the deposit, minus the cancellation fee.
