Terms & Conditions
Welcome to Vernon RV Park! We're glad you're here. Our goal is a safe, clean, and respectful community for everyone. These terms exist to protect guests and the park alike. We'll always work with you in good faith, and we ask the same in return. If you have any questions, please do not hesitate to ask.
These Terms and Conditions ("Agreement") govern all guest stays at Vernon RV Park ("Park"). By registering, paying, or entering a site, you ("Guest") agree to be bound by all provisions. This is a revocable license for temporary use only — no landlord-tenant relationship or tenancy is created.
1. RATES & PAYMENT
Standard Rates (Full Hookups — Electric, Water, Sewer & Trash Included)
- Daily: $52/day standard
- Weekly: $225/week standard
- Monthly: $750/month standard
- Card Fee: processing fee of 3% on all credit card payments
Additional Adults (Monthly Stays Only)
- Monthly rates include up to 2 adults and 2 children (under 18) per site
- Each additional adult (18+) $3/night per person (max adults, 4 per site)
Deposits & Holds
- Monthly: $200 refundable Site Restoration Hold required to confirm reservation — refunded at departure if no outstanding balances or damages
Payment Schedule & Late Fees
- Weekly: full payment due at check-in before occupying the site
- Monthly: stay fees due on the 1st of each month. Stay fees for the first month will be prorated based on your scheduled arrival date
- If monthly stay fees are unpaid by end of day 3: $20/day administrative late fee applies until paid in full
- Returned payments (NSF, chargeback, stop payment): $25 fee plus any bank/processor costs — must be resolved within 48 hours or reservation may be cancelled
- Card on file required at all times. Guest authorizes the Park to charge all amounts due: stay fees, holds, late fees, damages, violation charges, and removal/storage costs
Check-In / Check-Out
- Check-In: after 2:00 PM CST | Check-Out: 11:00 AM CST
- Early check-in or late check-out may be available by request — not guaranteed and may incur an additional fee
- Do not occupy a site before receiving Management approval and payment confirmation
2. CONDUCT & SAFETY
- Speed limit: 5 MPH throughout the park at all times — no exceptions
- Quiet hours: 10:00 PM – 7:00 AM daily. Please be respectful at all times, not just during quiet hours
- No harassment, threats, intimidation, fighting, or aggressive behavior toward anyone
- No abusive or profane language toward Management or other guests
- No excessive noise from music, TV, vehicles, or gatherings
- No disruptive behavior related to alcohol or public intoxication
- No illegal drug use, possession, sale, or distribution
- No illegal activity of any kind — if law enforcement is called, Guest must check-out and depart immediately
- Alcohol permitted on your own site only and only if it does not lead to disturbances or unsafe behavior
- Children under 14 must be supervised by an adult at all times when in common areas or outside the RV
- Guests are fully responsible for the behavior of their children and all visitors
- Carry a flashlight when walking through the park after dark
Violations of conduct standards are grounds for immediate cancellation of your reservation without refund.
Fire Safety & Weapons
- Open ground fires are strictly prohibited at all times
- BBQ grills and pits are permitted only if they have a cover and must be attended at all times while in use. Fully extinguish all coals before leaving the site unattended
- Fireworks of any kind are strictly prohibited on park property
- Firearms, weapons, air guns, and slingshots are strictly prohibited on park property
3. SITE, VEHICLES & MAINTENANCE
Occupancy & Parking
- One (1) RV per site at all times
- Maximum two (2) additional vehicles per site in designated parking areas
- Trailers, boats, and other towed units may require separate arrangements — contact Management
- Additional parking may be available with prior Management approval
- Unauthorized parking in vacant sites or non-designated areas will result in immediate towing at the vehicle owner's expense
- Do not block roads, fire lanes, utility access points, or other sites
Site Cleanliness
- Sites must be kept clean, organized, and free of clutter at all times
- All trash must be placed in designated receptacles — break down all cardboard boxes before disposal
- Cigarette butts must be disposed of in proper containers, never thrown on the ground ($25 fine per offense)
- Smoking is prohibited inside any park building or facility
- Failure to maintain site cleanliness may result in a cleanup fee of $100–$1000 and/or cancellation of your reservation
Vehicle & RV Maintenance
- Washing vehicles, RVs, or equipment on-site is prohibited
- Major repairs, oil changes, fluid changes, and transmission work are prohibited on-site
- Minor emergency repairs (flat tires, battery jumps, etc.) are permitted but must be completed within 24 hours
- Any fluid spills must be cleaned up immediately — cleanup charges of $100 or more will apply to unaddressed spills
- Generators are prohibited at all times except during a park-wide power outage (emergency use only). Unauthorized generator use is grounds for immediate cancellation of your reservation
Site Setup
- No permanent structures, foundations, or large external appliances permitted
- No digging or driving long stakes into the ground without Management supervision — underground utilities can be damaged
- Temporary awnings, outdoor furniture, and standard RV accessories are permitted
- Guest assumes full liability for any damage to underground utilities or infrastructure from unauthorized ground work
RV Eligibility & Condition
- All RVs must be in good working order and present a clean, well-maintained appearance
- Management reserves the right to inspect, approve, or deny any RV prior to or during occupancy
- RVs with visible leaks, broken windows, missing panels, severe rust, or structural hazards may be refused entry or required to check-out and depart
Pets
- Maximum two (2) animals per site. No breed restrictions at this time
- Pets must be leashed and under control at all times when outside the RV
- Pets may not be left unattended outside
- Pick up pet waste immediately — no exceptions
- Pet violations: 1st offense — written warning | 2nd offense — $100 fine | 3rd offense — $200 fine and/or required removal of pet from the park
- Aggressive behavior toward any person or animal may result in immediate required removal of the pet and/or cancellation of your reservation
- Guests are liable for all damages, injuries, or cleanup costs caused by their pets
4. UTILITIES
Included Utilities
- Electric, water, sewer, and trash service are included in all weekly and monthly rates
- Wi-Fi: not yet installed — a free tier will be available once infrastructure is complete. Speed, availability, and uptime are not guaranteed
- Utilities are for normal residential use — excessive or commercial use may result in additional charges and/or cancellation of your reservation
Sewer Connections
- REQUIRED: All sewer connections must use a threaded sewer seal or an approved rubber "donut" gasket — no loose or open connections permitted under any circumstances
- Use proper sewer hose supports and keep hoses in good condition to prevent leaks or sagging
- Guests must maintain secure, leak-free connections at all times
- Do not tamper with sewer pedestals, access points, or shared infrastructure
- All occupants must utilize approved sanitary sewer connections for the disposal of all liquid waste. The discharge of gray water or black water (sewage) onto the surface soil is strictly prohibited and constitutes a Public Health Nuisance under City of Vernon Ordinance § 28-21 and a criminal violation of the Texas Health and Safety Code (§ 365.012). Any such discharge is a Class C Misdemeanor and will result in an immediate $500 cleanup fee, liability for civil and criminal penalties of up to $5,000 as permitted by state law, and the immediate cancellation of your reservation. All violations will be reported to the Wilbarger County Health Department and local law enforcement.
Electrical & Water
- Do not tamper with electrical pedestals, breakers, meters, or water connections
- Surge protection is the Guest's responsibility — the Park is not liable for power surge damage
- Protect water connections and RV plumbing from freezing — the Park is not liable for freeze damage
- Report all utility problems to Management promptly
Mail Service
- Mailboxes available on request at no cost — contact Management to have your box activated with the Post Office
- Upon departure, update your address with the Post Office — the Park does not forward mail
5. VISITORS
- Visitors are welcome — no formal check-in required
- The registered Guest is liable for all visitor(s) conduct at all times, including adherence to vehicle, pet, and property damage policies
- Overnight visitors are permitted in moderation — extended or indefinite visitor stays are not allowed
- Management may restrict or require removal of visitors at any time for behavior, crowding, or parking issues
- No parties, excessive gatherings, or disruptive activities involving visitors
6. LIABILITY & INDEMNIFICATION Guests use the park entirely at their own risk. Vernon RV Park, its owners, managers, and employees are not responsible for any loss, theft, damage, injury, or death arising from any cause, including theft, weather, natural disasters, utility failures, power surges, freezing events, or the actions of other guests or third parties. Guests are strongly encouraged to maintain comprehensive insurance for their RV, vehicles, and personal property — the Park provides no coverage.
Guests are liable for all damage to Park property caused by themselves, their visitors, children, or pets — including damage to electrical infrastructure, water connections, sewer systems, underground utilities, landscaping, and cleanup costs from spills or improper waste disposal.
Guest agrees to indemnify, defend, and hold harmless Vernon RV Park and its representatives from any and all claims, liabilities, damages, costs, and attorney's fees arising from Guest's occupancy, conduct, negligence, or breach of this Agreement — including claims brought by Guest's visitors, family members, or any third party.
7. ENFORCEMENT & CONCLUSION OF STAY
Immediate Reservation Cancellation — No Notice, No Refund The following violations result in immediate cancellation of your reservation and a requirement to check-out and depart without notice or refund:
- Illegal drug use, possession, sale, or distribution
- Violence, threats, fighting, or aggressive behavior toward any person
- Any illegal activity requiring law enforcement
- Discharge of wastewater (gray or black water) onto the ground
- Possession of firearms, weapons, or fireworks on Park property
- Unauthorized generator operation
- Refusal to comply with a lawful Management directive
- Failure to depart following a notice of unpaid account balance
End of Reservation with Notice For less severe or first-time violations, Management will generally issue a written warning and allow an opportunity to correct the issue. Continued or repeated violations may result in cancellation of your reservation with 24–72 hours’ notice. We want to resolve issues whenever possible — but persistent non-compliance will not be tolerated.
Obligations Upon Departure or End of Reservation
- Remove all personal property, RV, and vehicles from the site at the end of the reservation
- Leave the site clean and in the same condition as at check-in
- Pay all outstanding balances: stay fees, fees, damages, and charges
- Return any park-issued keys, remotes, or access devices
- Update your address with the Post Office if a mailbox was in use
Unclaimed Property Personal belongings are considered unclaimed if they remain on-site for more than 7 days following the scheduled departure date or reservation cancellation. After 7 days, the Park may dispose of or donate the items at Management’s discretion.
8. EMERGENCY PROCEDURES
- Life-threatening emergency: call 911 immediately
- Notify Management as soon as it is safe to do so
- Follow all instructions from emergency responders and Management
- Evacuate immediately if instructed by emergency personnel
- Guests are responsible for monitoring weather conditions and having their own emergency plan
The Park is not liable for loss, injury, or damage resulting from natural disasters, severe weather, or emergencies beyond Management's control.
9. PRIVACY & PERSONAL INFORMATION All personal information collected at registration is used solely for internal park operations and will never be sold or shared with third parties except as required by law.
10. LEGAL PROVISIONS This Agreement is governed by the laws of the State of Texas. Any dispute shall be resolved exclusively in the courts of Wilbarger County, Texas. If any provision is found unenforceable, all remaining provisions continue in full effect. Failure to enforce any provision on one occasion is not a waiver of future enforcement. Management may update these terms with reasonable written notice; continued stay constitutes acceptance. In any legal action arising from this Agreement, the prevailing party is entitled to recover reasonable attorney's fees and costs.

Cancellation and Refund Policies
How to Cancel
- You may cancel by phone at (940) 227-4054 during office hours (8 AM – 5 PM daily), or online through your Campspot confirmation link at any time.
- Cancellations are NOT accepted via social media, voicemail, or text message.
- You will receive a emailed cancellation confirmation to the email entered during booking. If you don’t receive one, contact us immediately.
Standard Cancellation Windows
- All reservations:
- Cancel 14+ days before arrival: reservation is eligible per Refund Policy.
- Cancel 7–13 days before arrival: reservation is eligible per Refund Policy.
- Cancel 6 days or less before arrival: reservation is non-cancellable.
- No-shows/No-calls are treated as a same-day cancellation. (Reservations will be released at 11AM the following morning after your check-in-date)
Reservation Changes
- Inside the Cancellation Window: Any request to change dates is treated as a cancellation and is subject to the standard cancellation policy.
- Outside the Cancellation Window: One (1) courtesy date change is permitted per reservation. Any difference in nightly rates will apply at the time of the change.
- Finality: Once a courtesy change is made, the new reservation dates are considered non-changeable and non-refundable.
Standard Refund Schedule
- Cancel 14+ days before arrival: full refund (minus $25 processing fee)
- Cancel 7-13 days before arrival: 50% refund (minus $25 processing fee)
- Cancel 6 days or less before of arrival: no refund
- No-shows/No-calls: no refund
- Early departures or unused portions of any rental period: no refund
- Reservations may be made up to 1 month in advance. (minus $25 processing fee)
After Check-In / Early Departure
- No refunds for early departures, reduced nights, removals due to rule violations, or unused nights after check-in.
Weather
- No refunds for weather, forecasts, road conditions, or guest discomfort.
Park Closure / Mandatory Evacuation
- If the park is closed or a mandatory evacuation prevents the stay, we will provide either:
- a refund for unused nights, or
- park credit for unused nights (guest choice unless payment rules restrict it).
Hardship & Emergency Exceptions (Management Discretion)
In documented emergency situations, park management may offer a full or partial refund or a credit toward a future stay (supporting verification may be requested). Qualifying circumstances include:
- Hospitalization of the guest or an immediate family member traveling with the guest
- Death of an immediate family member
- RV or tow vehicle mechanical breakdown in route to the park
- Mandatory government evacuation orders or road closures that prevent travel to the park
To request a hardship exception:
- Contact our office within 72 hours of your original arrival date.
- Email or bring supporting documentation.
- Park management will review and respond within 3 business days.
- All decisions are at the sole discretion of park management and are final.
Park-Initiated Cancellations
- If we must cancel your reservation for any reason within our control (e.g., site maintenance, utility failure), you will receive a full refund of all payments made.
Non-Refundable Charges
The following charges are non-refundable under all circumstances:
- Third-party booking fees or online travel agency service fees
- Transaction or credit card processing fees
Refund Method & Timing
- Refunds are issued to the original payment method only.
- Refund processing typically takes 5–10 business days.
