Refund Policy
1 — OVERCHARGE & BILLING ERROR REFUNDS
If a guest believes they have been overcharged or billed in error, they must notify management in writing within 7 days of the charge.
Management will review and respond within 3 business days.
If a billing error is confirmed, the full overcharged amount will be refunded to the original payment method within 5–7 business days.
Billing disputes not reported within 7 days of the charge will not be eligible for review or refund.
Late fees, returned check fees, and additional occupant fees are not eligible for refund once assessed and confirmed.
2 — CANCELLATION REFUNDS
Cancellation refunds are governed by the Pioneer RV Park Cancellation Policy (separate document).
30 or more days before check-in: 100% refund to original payment method within 5–7 business days.
7 to 29 days before check-in: 50% refund to original payment method within 5–7 business days.
Within 72 hours of check-in: No refund issued under any circumstance.
All cancellations must be submitted in writing. Verbal cancellations will not be accepted and will not trigger a refund.
Refund eligibility is based on when management receives written cancellation notice — not when it is sent.
3 — EARLY DEPARTURE
No refunds will be issued for early departure once a guest has checked in, regardless of reason.
This applies to all circumstances including but not limited to: weather conditions, personal emergencies, job changes, family matters, or dissatisfaction with the park.
Unused nights, days, or weeks are forfeited and will not be credited, refunded, or applied to future stays.
4 — PARK-INITIATED CANCELLATION OR TERMINATION
If Pioneer RV Park cancels a reservation before check-in for reasons not related to guest misconduct (e.g. facility issue, emergency closure), a full 100% refund will be issued within 5–7 business days.
If a guest is removed from the park due to rules violations, illegal activity, misconduct, threats, or any other cause covered under the Occupancy Agreement, no refund will be issued for any unused portion of their paid period.
Management’s determination of the cause of removal is final.
5 — HOW REFUNDS ARE PROCESSED
All refunds are issued to the original payment method only. No cash refunds will be issued under any circumstance.
Refunds are processed within 5–7 business days of approval. Processing time by your bank or payment provider may add additional days.
Pioneer RV Park is not responsible for delays caused by the guest’s bank or payment provider.
Guests will receive written confirmation when a refund has been initiated.
If a refund cannot be processed to the original payment method, management will work with the guest to identify an alternative method.
6 — GENERAL TERMS
All refund requests must be submitted in writing to management via email or text.
Refund decisions made by management are final.
This Refund Policy is incorporated into and subject to the Pioneer RV Park Occupancy Agreement and Cancellation Policy.
Pioneer RV Park reserves the right to update this policy at any time. Current policy will always be posted at the office and provided at check-in.
